For events to be more engaging, Anju Gomes, ICCA Middle East Director, explained how modern conferences must highlight the unique value of the destinations, foster cross-generational participation, and build enduring partnerships between associations and their hosts. Conferences can foster cross-generational participation by designing inclusive programs that highlight diverse perspectives, from mentorship opportunities and mixed-age speaker panels to interactive workshops that encourage equal contribution. By blending technology, accessible programming, and cultural or social activities, they create spaces where emerging professionals and seasoned experts can learn from each other.

Equally important to fostering these connections is the role of the host city, whose cultural strengths and infrastructure can amplify the impact of an event and create lasting value for participants. Thailand’s exhibition sector serves as an example of being a world-class host. For example, the Thailand Convention and Exhibition Bureau’s (TCEB) Exhibitions Department created a centralized data platform that empowers its people to adapt sustainably and gives stakeholders the intelligence they need to make better decisions. Another key initiative is the “ Ease of Doing Business ” booklet, which streamlines complex regulations for international organizers. By clarifying local laws, customs procedures and venue requirements, it reduces obstacles and strengthens the partnership between associations and their host.  

Face-to-face interaction delivers unique economic and relational benefits. Advocacy groups such as Meetings Mean Business emphasize that in-person engagement is the most powerful marketing vehicle available, with every US dollar spent on meetings generating an estimated US $12.50 in return, highlighting just one of a few long-term benefits of thoughtfully designed events.

Tech-Enabled Engagement and Creative Program Design

Another defining trend that shows how exhibitions and conferences are evolving is through the integration of technology and creativity to deliver immersive, highly engaging experiences. People want opportunities to connect, explore and participate meaningfully when they attend. Organizers are increasingly leveraging AI-adaptive learning paths, AI agents, interactive tools, and gamified booths to tailor experiences to individual preferences and enhance operational efficiency. According to UFI’s recent Global Exhibition Barometer report, 17% of global companies have AI-powered tools integrated into their existing systems, and 3% have already developed proprietary algorithms trained on internal data. By combining these capabilities with thoughtful program design, organizers can create experiences that resonate deeply with participants.

Experts from the 2024 AMF called attention to the importance of aligning every touchpoint with an event’s core values by using technology as a tool to craft experiences that connect. For instance, Genesis Exhibits launched “Trade Show Maestro,” an AI-powered consulting solution designed to assist exhibitors in navigating the complexities of the trade show landscape. It combines the company’s deep industry knowledge with real-time global marketing data and is a tool that reflects the event’s core values of innovation, accessibility, and meaningful connection.

For WTCA Members, these innovations carry significant implications: trade development teams can achieve stronger return on investment (ROI) through tech-enabled program design, exhibitors can generate higher-quality leads, and Business Clubs can design events that cultivate ongoing engagement rather than one-off interactions.

Sustainable Practices and Green Venue Operations

Sustainability has become a defining differentiator for exhibitions and conferences. Chuck Grouzard, International Association of Exhibitions and Events (IAEE) Chair-Elect and GES USA representative, shared practical examples of how organizers are reducing environmental impact by digitizing materials to cut over 200,000 pages of paper annually, constructing booths from 100% recycled materials, and optimizing operations by region to lower transport-related carbon emissions. These efforts demonstrate that environmental responsibility can be integrated seamlessly into operational planning while still enhancing efficiency and the participant experience.

Leading the way in venue sustainability, Taipei Nangang Exhibition Center has published Taiwan’s first sustainability report for an exhibition venue, guided by a framework emphasizing safety, health, technology integration and low-carbon operations. For WTCA Members, these trends mean that real estate and exhibition operators can attract high-profile events by offering green-certified spaces, while trade development professionals benefit from aligning events with global ESG standards, thus appealing to organizations prioritizing sustainability. Integrating sustainable practices and highlighting environmentally responsible venues allows exhibitions to minimize their ecological impact while simultaneously positioning the conferences as forward-thinking in an increasingly discerning global market.

Maximizing ROI through AI and Experiential Travel

As exhibitions and conferences evolve, organizers are increasingly focused on maximizing ROI by blending innovative technology with participant-centric strategies. Organizers are harnessing technologies like AR (augmented reality) , VR (virtual reality) and predictive analytics to deepen interaction and create innovative, memorable moments that help exhibitors and attendees engage more in-person. Global spending on experiences from business and leisure travel (now known as “bleisure” travel) to live shows and cultural events has risen steadily, which highlights the strong demand for immersive, multi-sensory engagement. Experiential events succeed because they engage attendees’ senses, foster community and create lasting memories, which in turn strengthen brand loyalty and drive repeat participation.

To complement these trends, organizers are also implementing travel cost management strategies by using technology to optimize itineraries, reduce unnecessary expenses and streamline logistics. These key trends help businesses create memorable, cost-effective experiences that extend well beyond the exhibition floor.
